Camp Coordinator

Camp Operations & Coordination:

  • Supervise day-to-day camp operations to ensure accommodation, catering, housekeeping, recreational facilities, and support services are delivered in accordance with Company standards and contractual requirements.
  • Coordinate camp activities with Contractors, service providers, camp residents, and Company stakeholders.
  • Ensure operational issues and service deficiencies are identified and resolved in a timely manner.
  • Support continuous improvement initiatives aimed at enhancing camp operations, resident welfare, service quality, and operational efficiency.

Accommodation & POB Management:

  • Manage accommodation allocation, occupancy records, Personnel on Board (POB) reporting, office allocations, and associated administrative functions.
  • Ensure accurate camp occupancy information and efficient utilization of accommodation resources.
  • Oversee reception activities, including:
    • Personnel check-in and check-out
    • Visitor registration
    • Room assignments
    • POB record management
  • Monitor room readiness before guest or resident occupancy.

Room Inventory & Asset Control:

  • Maintain accurate room inventory records and asset registers, ensuring all assigned items are accounted for.
  • Inspect rooms during check-in, occupancy, and check-out to identify:
    • Damage
    • Missing items
    • Maintenance requirements
  • Ensure all room inventory items are present, functional, and compliant with Company accommodation standards before occupancy.
  • Coordinate the repair, replacement, or replenishment of damaged, lost, missing, or unserviceable room inventory items.
  • Ensure compliance with room handover and check-out procedures.
  • Maintain proper documentation covering inventory movements and asset accountability.
  • Prepare periodic inventory reports highlighting:
    • Asset status
    • Shortages
    • Losses
    • Replacement requirements
    • Trends affecting accommodation services

Catering & Housekeeping Services:

  • Supervise catering operations and monitor:
    • Food quality
    • Menu compliance
    • Hygiene standards
    • Service delivery
    • Customer satisfaction
    • Compliance with contractual Scope of Work (SOW) requirements
  • Monitor housekeeping and accommodation services to ensure expected service and hygiene standards are maintained.
  • Liaise with Contractors to address identified service deficiencies or non-conformances.

Recreational Facilities & Inventory Management:

  • Monitor recreational facilities to ensure cleanliness, proper usage, equipment serviceability, and compliance with Company rules and camp regulations.
  • Conduct regular gym inspections and ensure compliance with gym regulations.
  • Monitor gym equipment condition and promote a safe environment for users.
  • Conduct regular inspections and inventory audits covering recreational facilities, including:
    • Gyms
    • Sports courts
    • Game rooms
    • Entertainment areas
    • Associated equipment
  • Ensure recreational assets are properly accounted for and maintained in good working condition.
  • Monitor inventory levels of recreational equipment, furniture, consumables, and accessories.
  • Ensure timely replenishment and replacement where required.
  • Maintain accurate inventory records, asset registers, and inspection reports.
  • Highlight shortages, damages, losses, and replacement requirements.
  • Coordinate repair, maintenance, and replacement of damaged or defective recreational equipment.
  • Ensure recreational equipment is used appropriately and in accordance with Company guidelines, minimizing loss, misuse, and unnecessary wear and tear.

Travel & Personnel Logistics:

  • Coordinate travel and logistics activities, including:
    • Flight bookings
    • Flight manifests
    • Arrivals and departures
    • Airport transfers
    • Personnel movement planning
  • Coordinate and supervise airstrip transportation operations.
  • Ensure timely pick-up and drop-off of arriving and departing personnel, visitors, and VIPs.
  • Maintain accurate transportation schedules and flight movement records.

Transportation Coordination:

  • Coordinate vehicle and driver allocations for:
    • Camp operations
    • VIP visits
    • Special events
    • Personnel transportation
  • Prepare, manage, and monitor site office transportation schedules.
  • Ensure efficient allocation of vehicles and drivers to support:
    • Operational requirements
    • Meetings
    • Personnel movements
    • Business activities
  • Ensure transportation activities are performed safely and efficiently and in accordance with Company procedures.
  • Maintain appropriate controls relating to vehicle utilization, passenger manifests, and journey management requirements.

VIP, Hospitality & Event Coordination:

  • Coordinate VIP visits and ensure the required level of preparation and service.
  • Ensure accommodation is ready before VIP arrival.
  • Conduct VIP room inspections.
  • Arrange required transportation.
  • Issue required Personal Protective Equipment (PPE) and ensure its return to the designated storage location.
  • Coordinate hospitality services and special events, including:
    • Menu planning
    • Catering requests
    • Event setup
    • Food quality verification
    • Venue readiness
    • Execution according to approved visitor and event programs

HSE, Hygiene & Camp Inspections:

  • Conduct routine inspections and audits of camp facilities.
  • Ensure compliance with:
    • Health, Safety and Environment (HSE) requirements
    • Hygiene standards
    • Company standards
    • Site operational requirements
  • Monitor Contractor performance and ensure corrective actions are implemented promptly for identified deficiencies and non-conformances.

Camp Rules & Resident Compliance:

  • Ensure camp residents, visitors, Contractors, and service providers comply with:
    • Camp rules
    • Company policies
    • Security requirements
    • Code of Conduct standards
  • Conduct regular inspections and monitoring activities to verify compliance with camp regulations.
  • Monitor adherence to accommodation standards, recreational facility rules, and site operational procedures.
  • Address and report violations of camp rules.
  • Recommend appropriate corrective actions.
  • Coordinate with relevant departments to maintain a safe, orderly, and professional living environment.
  • Promote awareness of camp rules and regulations through inductions, communications, and engagement with camp residents.
  • Foster a culture of respect, safety, and accountability within the camp.

Reporting & Performance Monitoring:

  • Prepare and submit daily, weekly, and monthly reports covering:
    • Camp occupancy
    • POB
    • Catering performance
    • Visitor management
    • Events
    • Travel coordination
    • Customer feedback
    • Operational performance metrics
  • Maintain accurate operational records and supporting documentation.
  • Monitor service delivery and Contractor performance.
  • Escalate operational issues, discrepancies, and non-conformances where appropriate.
Accountabilities
  • Responsible for logistics, transportation, and camp activities within the DUAT area, in close collaboration with the EPC Contractor and in accordance with Project requirements.
  • Ensure activities support Project objectives relating to:
    • HSE
    • Schedule
    • Cost
  • Coordinate with other departments to ensure the safe and timely execution of work.
  • Contribute to the delivery of a fit-for-purpose facility.
Qualifications & Experience

Education:

  • Hotel or Catering Management certification
  • Relevant professional experience supported by a minimum of 5 years' experience in logistics operations and camp management at Supervisor or Superintendent level.

Professional Experience:

  • Minimum 5 years of relevant experience in logistics operations and camp management.
  • Experience at Supervisor / Superintendent level.
  • Suitable general knowledge of the Oil & Gas industry.
  • Experience in camp operations, accommodation, catering, logistics, transportation, or associated services.

Technical & Operational Knowledge:

Strong understanding of areas critical to the successful delivery of large and complex projects, including:
