Assist in coordinating for both internal and external parties to provide a correspondence, receiving/outgoing parcel and coordination services.
Update, maintain and improve technical and administrative database that contains all relevant personnel data and information.
Conduct data entry, process invoices, manage vendor payments, and manage calendars and appointment scheduling.
Prepare presentation package and supporting information for the meeting with internal and external parties.
Assist in coordinating and maintaining good relations with contractors, vendors, and partners, government authorities, and related internal departments.
Collect, follow-up, expedite, review, and preparation for Field Director approval of documents, including but not limited to timesheets, BTRs, leave requests, team’s rotation plan and any other paperwork relating to the administrative aspect of operations.
Liaise with departments including but not limit to Finance, Procurement, Logistics, and HSE.
Translating documents (French-English and Arabic)
Create meeting reports, scheduling events, responding to through email and phone calls, monitoring office inventories, basic troubleshooting on defective equipment.
Act as a focal point and handle arrival and during the trip, and departure of base de vie, operations camp’s visitors.
Carry-out specific assignment as assigned by Field Director.
Professional Knowledge & Experience
Master’s or Bachelor’s degree in Science, Business administrative, Accounting, Finance or related fields.
At least 5 years relevant experience and 2 years in oil and gas business in Technical Assistant, Admin Assistant, Secretarial or equivalent.
Proficient in both written and spoken French and English.
Demonstrate teamwork skills and be adaptable regarding work location, such as an operation camp or base de vie.
Proficiency with common computer applications, including Microsoft Word, Excel, and PowerPoint
Experience and knowledge in administration
Excellent communication, collaboration, and interpersonal skills.
