LPMS Project System Coordinator

Location : Office Based – La Defense – Paris – France

 

1- Activities

 

The Service Provider shall perform the following activities as state below:

 

Activity 1: LPMS (Localization Project Management System) Implementation

 

Tasks :

  • Support the LPMS Manager and team in implementation of LPMS (PMP, Project model etc)
  • Support on LPMS training
  • Assessments, meetings and workshops guide for all relevant stakeholders to ensure that all processes are being used and incorporated into every-day life in the project

Timeline : Daily

 

Deliverables :

  • Develop training material for LPMS 
  • Carry out updating exercise for Project model deliverables with all key stakeholders

 

Activity 2: Maintain & Optimize

 

Tasks:

  • Maintain LPMS and ensure updating with lessons learned
  • As processes are being implemented, there will be lessons learned which needs to be included and/or the processes will need to be updated
  • Help identifying where optimizations can be made for the benefit for the whole project

Timeline: Weekly

 

Deliverables:

  • Carry out Lessons learned sessions and document in LPMS system

 

Activity 3: Communication

 

Tasks:

  • A key task will be the communication for LPMS, which need to be creative, interesting to ensure to get the attention from the project team and ensure increasing the awareness of LPMS in the whole project
  • Help develop communication and training material
  • Responsible for continuous update of LPMS status to whole project
  • Work closely with Internal communication responsible

 

Timeline: Daily

 

Deliverables:

  • Produce communication plan
  • Produce necessary communication material
  • Updated intranet internal communication

 

2- Participation to Meetings & Workshops

 

1. Coordination Meetings

Among the recurrent meetings organised by Client, the Service Provider may be requested to attend to monthly coordination meetings. These meetings will aim at:

  • Measuring performance of the Contract execution,
  • Reviewing upcoming needs for additional activities and termination of on-going activities as the case may be,
  • Holding discussions on challenges, difficulties, lessons learnt.

From time to time, the coordination meetings could be face-to-face meetings held in the Client’s offices in Paris-La Défense. However, if jointly agreed, those meetings will normally be held through conference call or teleconference call.

 

Note:

  • The agenda of coordination meetings is at this stage preliminary and will be fine-tuned all along contract execution,
  • The frequency of these meetings may vary (increased, decreased or even suspended) during periods when exchanges do not seem to be necessary.

2. Adhoc Meetings & Workshops

In addition, various ad-hoc meetings or workshops will also take place. If Client judges it relevant, the Service Provider will be requested to attend to these ad-hoc meetings.
